Roles and Responsibilities

  • Office Management
    • Responsible for all ESA offices in Gauteng (Pretoria and Johannesburg)
    • Assist with office layout planning and office moves
    • Maintain office supplies levels by checking stock to determine satisfactory level is maintained; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies, and placing orders when necessary
    • Ensure effective office equipment maintenance/management, e.g. photocopiers, shredders, etc.
    • Arranging office cleaning and other contracts as required for day to day operation.
    • Sending and receiving of goods/packages via courier service
    • Provide receptionist function, e,g Receiving of guests, management of telephone calls, etc.
    • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, etc.
    • Support Management with updating the Health and Safety filing system
    • Responds to all office-related queries by employees
  • Meeting Administration
    • arrange staff meetings and events according to the needs of the business.
    • drafting of agendas for meetings and/or minute taking in line with specific meeting purpose and objective.
    • ensure effective booking and preparation of boardrooms and meeting rooms
  • Travel Management
    • Arrange local and international travel and accommodation
    • Work with travel and accommodation service provider contracts, e.g. travel agent agreements, car rental companies, etc.

Qualifications and Personal Competence

  • Qualification(s) - Administrative clerk, Business administration, etc.
  • Type of Training / Relevant Professional Training
    • Business fluent in English, another South African official language.
    • 1 year business administration, Office Management experience will be advantageous.
    • Proficiency in Microsoft Office programs (Excel, Power Point, Word) will be beneficial.
    • Some knowledge of travel Management platform will be beneficial.
